Membership Policy

INTRODUCTION

The Victoria Park Xavier Hockey Club (“VPXHC”) is committed to providing a fair, equitable and transparent membership fee structure for all club members, in line with the current requirements of VPXHC, individual teams, player development and in accordance with the VPXHC Constitution. 

This policy applies to all coaches, managers, administrators and players registered as members of the club and the applicable fees set for the season by the Executive Committee. 

 

POLICY 

This Policy supersedes any previous fee arrangement structures of registration terms and conditions.  

Any exemptions, discounts or fee waivers do not include Hockey Australia levies, these remain the responsibility of the player. 

1. Life Members

Life Membership is granted after many years of dedicated contribution to VPXHC. Life Members are not required to pay any fees. 

2. Hockey Australia High Performance Players (HAHPP)

Current HAHPP players are not required to pay fees while drafted to the Club by Hockey Australia.  

Current HAHPP player levies are paid by Hockey Australia.  

3Former Australian Players (Kookaburras/Hockeyroos)

Former Australian capped players are not required to pay any club fees. Please contact the Treasurer prior to registration for your discount code. 

4Hockey One or Elite Level Players

Current players in Perth Thundersticks or other Hockey One teams are not required to pay fees. As highly regarded players by our junior players, VPXHC would be grateful for your attendance at two junior events/training sessions in lieu of paying fees. Please contact the Treasurer prior to registration for your discount code. 

5. Senior Turf Coaches

Senior coaches who coach a turf team for the full season and also play will receive a 100% discount on their applicable season fees. Non-playing senior coaches may transfer their discount to one junior immediate family member. Please contact the Treasurer prior to registration for your discount code. Please note if the coaching responsibility is shared, the discount will be shared (i.e. two coaches is 50% discount each).

6. Junior Coaches (excluding sub-juniors)

Coaches of a junior team (excluding sub-juniors) who coach for the full season and also play will receive a 60% discount on their applicable season fees. Non-playing junior coaches may transfer their discount to one junior immediate family member. Please contact the Treasurer prior to registration for your discount code. Please note if the coaching responsibility is shared, the discount will be shared (i.e. two coaches is 30% discount each).

7. Sub-Junior Coaches (Grads)

Coaches of a grads junior team who coach for the full season and also play will receive a 35% discount on their applicable season fees. Non-playing grads coaches may transfer their discount to one junior immediate family member. Please contact the Treasurer prior to registration for your discount code. Please note if the coaching responsibility is shared, the discount will be shared (i.e. two coaches is 17.5% discount each).

8. Sub-Junior Coaches (Minkey)

Coaches of a minkey team who coach for the full season and also play will receive a 25% discount on their applicable season fees. Please contact the Treasurer prior to registration for your discount code. Minkey coaching discounts are not transferable.

9. First year senior players (from J11/12’s)

Transitioning from junior to senior level—where players become responsible for their own fees—can place a significant financial burden on young members. To support ongoing participation, the Club offers first‑year Senior players a $100 discount on their fees. Please contact the Treasurer before registering to obtain your discount code. 

10. Goalkeepers (Junior and Senior)

Given the high cost of goalkeeping equipment, goalkeepers supplying their own complete kit will receive a 50% discount on their applicable fees. Those who rely on Club‑provided equipment must pay the full fee applicable to their age group. Please use the discount code ‘2026GK’ at the point of registration. 

11. Executive Committee

As the elected leadership of VPXHC, the Executive Committee is entrusted with overseeing the governance and operational management of the Club. Executive Committee members who participate as players are eligible for a full (100%) discount of their applicable season fees. For Executive Committee members who do not play, this benefit may be allocated to one immediate family member, who will receive a full (100%) discount on their season fees. 

 
 
 

12. Senior Casual Memberships 

Due to the administration required to upgrade players to a full Hockey Australia membership when they exceed playing 5 games, all casual memberships will be charged the full Hockey Australia levy. If at the end of the season members have played less than 5 games, they may request a refund of the difference if the Hockey Australia Levy directly via this link: Hockey Australia - Manual Refund Form - Hockey Australia. 

Players who exceed playing 5 games will be charged a per game fee from the 6th game onwards. For grass competitions, you will be upgraded to a full membership after 12 games (game 13 onwards), otherwise $30 per game including payment for each game of finals played. For turf competitions, you will be upgraded to a full membership after 12 games (game 13 onwards), otherwise $50 per game including payment for each game of finals played.  

13. Juniors playing regular Seniors 

The Club encourages Juniors to play Seniors hockey. If Juniors know they will be playing seniors at the time of registration, please ensure this 'add-on' is selected at registration. Those unsure of senior game time will be invoiced during the season when the player becomes a regular player - which the club considers to be 8 or more games.  

14. Refunds  

It is important to note that any refund will not include the Hockey Australia levy, as that is paid directly by the member to Hockey Australia. Please advise VPXHC if you would like the club to request a refund of this levy on your behalf (e.g. due to injury pre-season), however the club is not responsible for the decision of Hockey Australia.  

All refunds are exclusive of any RevSport transaction fees paid at the time of registration. 

Seniors 

Any senior player wishing to cancel/withdraw from registration PRIOR to the season commencing will receive a full refund of club fees, less a $50 administration fee.  

 Once the season has commenced, there will be no refunds with the exception of a season ending injury or the requirement to relocate from Perth. Refunds will be pro-rated based on games played and subject to a $50 administration fee. Refunds will not be issued due to grievances in team selection. 

All requests for refund must be made in writing to treasurer@vicparkpanthers.com.au for consideration by the Executive Committee. 

Juniors & Sub-Juniors 

Any junior player wishing to cancel/withdraw from registration PRIOR to grading will receive a full refund of club fees, less a $50 administration fee.

Review of Policy 

The Executive Committee will review this policy annually, or when it determines necessary.
